Founded in 1944, The Council for British Archaeology (CBA) is a registered charity and a company limited by guarantee. Through the Council, twelve English regional groups, CBA Wales/Cymru, Archaeology Scotland and a small secretariat, the CBA works throughout the UK to involve people in archaeology and to promote appreciation and care of the historic environment for the benefit of present and future generations.

The post of Office Administrator is an integral part of a secretariat which undertakes a wide range of activities. Prior office administrative experience is expected along with general computer literacy. A methodical approach, good organisational abilities and good communication and computer skills are required. An interest in the historic environment will be an advantage.

Job Description

Job Title: Office Administrator
Location: St Mary’s House, 66 Bootham, York YO30 7BZ
Main Purpose of Job: To administer office facilities and services and assist in answering enquiries
Responsible To: Finance Director

Main Duties & Responsibilities

  1. Answer and transfer telephone calls, taking messages where necessary
  2. assist with answering written and verbal enquiries from the general public, routing archaeological enquiries to others (internally and externally) where necessary
  3. maintain a record of monthly statistics of archaeological enquiries, including collating statistics from other members of staff
  4. open and distribute incoming post, frank the outgoing post, keeping a postage record and maintaining the franking machine
  5. oversee maintenance of the office stationery facilities, including maintenance of stocks of stationery and cleaning materials, keeping records of all new orders
  6. welcome visitors and provide hospitality as required
  7. maintain details of archaeological societies and groups etc which complement other sources of information in helping to answer enquiries
  8. maintain office filing system, including back issues of magazines, and supply of information material including CBA factsheets
  9. assist with stock maintenance and monitoring of CBA publications in St Mary’s House, and their direct sale
  10. despatch of papers to committee members and others
  11. ensure smooth running of office facilities including telephones, copying machines, fax machine, franking machine, office furniture
  12. assist with periodic routine updates of certain information aspects of the CBA’s website
  13. assist with managing building maintenance matters and fire drills
  14. assist with marketing activities in liaison with the Marketing & Events Officer
  15. assist with event organisation (including the annual Festival of British Archaeology and Weekend Event and record conference bookings
  16. provide secretarial support generally as may reasonably be requested
  17. be (or become) conversant with, and make use of, in-house computer hardware and software
  18. such other reasonable duties as the Finance Director may request.

Salary & Contract

Salary c £13,500–15,500. An additional ten percent of gross salary is available as an employer’s contribution to a pension scheme. The post is based in York and is subject to a 3 month probation period. Any job offer will be subject to independent checks.

Working Conditions

The post is based with the CBA secretariat. The normal working day is 9.00am to 5.00pm, although a flexi-time system is also utilised by staff. The post carries a holiday entitlement of 24 days, with additional days at Christmas, Easter and some bank holidays.
